SHIPPING MATERIALS TO DUBAI

*IMPORTANT* — Due to any unexpected customs clearance delays, exhibitors are advised to ship materials as early as possible. However, please arrange all deliveries to the hotel from October 10, 2024 and not earlier, if possible.

All customs fees and shipping charges (if any) must be paid by the sender prior to delivery at the hotel as the hotel cannot pay it on behalf of the sender.

INSTRUCTIONS:

• On the shipping invoice, you must tick "DDP (Delivery Duty Paid)".

• The hotel will accept shipments delivered to the hotel door only; the hotel cannot handle clearing shipments that are stuck in Customs.

• In case the shipment is not released from Customs, the sender must find their own shipping company and is responsible for any customs duty fee, storage fee, etc. (The hotel can recommend a shipping company, if needed.)

• To avoid any problems, please put "non-commercial value, conference samples only" on the package. If you must state a value for the materials, put a small value (do not put zero value). Separate large shipments into 2-3 boxes to reduce the weight for each box.

• Please email Ms Thamonwan Supriyasilp (Lily), Assistant Events Planning Manager, with your shipment's tracking number so the hotel has a reference and can monitor deliveries: Lily.Supriyasilp@marriott.com.

PICK UP CONFERENCE MATERIALS & Set Up

Prior to set-up, please visit the NESA Office in Salon 8C on Level 6 at the JW Marriott Marquis Hotel Dubai to collect your conference materials (name badge, program, etc), and any couriered packages. A NESA team member will escort you to your table.

Details about set up day/time will be announced soon (late afternoon or evening of Wednesday, October 16).

If you do not need a lot of set-up time, you may also set up early Thursday morning (October 16) prior to the opening keynote at 8:30am — the exhibition will be open from 7:30am that day.

Exhibition Hours

The exhibit is open during conference hours.

Generally, most exhibitors are at their booths each morning before the plenary session or workshops begin, and during high-traffic times, e.g., coffee breaks and the start/end of lunch.

Exhibit Tables

Table dimensions are 1.83 meters long x 60 centimeters wide. Tables are covered with a tablecloth and skirt, and chairs are supplied. Exhibitors may use only the rectangular banquet tables and chairs provided. Bringing one's own furniture or requesting from the hotel other/additional furniture (ie, stools, high cocktail tables, armchairs, etc) is not allowed.

Display Banners

Due to space limitations, exhibitors are encouraged to bring tabletop display banners or modestly-sized banners (approx. up to 5 feet/1.5 meters high x 18 inches/45cm wide), rather than very tall/wide floor banners. Wide banners must be placed behind the table and must not exceed the width of the rectangular exhibit table (1.80m). Encroaching on the space of other exhibitors is prohibited.

Exhibit Design

NESA works with the hotel to design the exhibition and assign exhibit tables, giving priority to sponsors and program advertisers. Please do not change tables without approval of the NESA Team. Thank you.

Security

The JW Marriott Marquis Hotel Dubai exhibit space is an open, public area and does not have dedicated security beyond the hotel's normal security. Upon request, the hotel will provide tablecloths for exhibitors to cover the exhibits after-hours. Leaving valuables, give-away items, raffle przes, etc., unattended is strongly discouraged.

Internet & Electricity

Complimentary internet will be available throughout conference spaces; electricity access will also be provided. (Powerstrips with multiple plugs will be shared by two-four exhibitors; if possible, bring chargers with longer cords in case the power strip is not adjacent to your table, or if your table is not located in front of a wall plug.)

To avoid internet slow-downs, we advise all delegates (including exhibitors) to use only one device at a time, especially during peak use times (e.g., coffee breaks, lunches). Thank you for your understanding.

Officially, the exhibit closes when the conference adjourns on Sunday, October 20, at 12:00pm.

Be sure to bring masking/packing tape to close boxes.
