SHIPPING MATERIALS TO ISTANBUL

*IMPORTANT*
All shipments must be handled by a local agent.

It is absolutely essential that exhibitors work through a local agent in Istanbul and receive shipping instructions directly from the agent. Packages should NOT be shipped via courier directly to the hotel under any circumstances because if they are held in customs, they cannot be retrieved – even with the assistance of a customs agency.

All shipments to Turkey must be arranged through a professional international cargo company selected by the exhibitor. Shipments must not be sent directly to the Polat Renaissance Istanbul Hotel or addressed to any individual at the hotel. This applies even when using global courier services such as DHL, FedEx, etc. NESA assumes no liability for customs clearance in Turkey.

Exhibitors may use their own customs agent, but if you don't have one, NESA's contacts in Istanbul recommend the reliable agent below. Before shipping your materials, consult with this or another local customs agent for shipping instructions.

PICK UP CONFERENCE MATERIALS & Set Up

Prior to set-up, please visit the NESA Office at the Renaissance Polat Istanbul Hotel to collect your conference materials (name badge, program, gift, etc), and any shipped packages. The NESA office will be open from Tuesday morning, October 14.

Exhibitors may set up the day before the conference, Wednesday, October 15. Exact time TBA.

If you don't require much time for set up, you may do so Thursday morning (Oct. 16) starting at 7:00am prior to the opening keynote at 8:30am. Ideally, all exhibits should be set up by the first coffee break at 10:30am. We look forward to welcoming you to Istanbul!

Exhibition Hours

The exhibit is open during conference hours. The FLC schedule will be posted soon.

Generally, most exhibitors are at their booths each morning before the plenary session or workshops begin, and during high-traffic times, e.g., coffee breaks and the start/end of lunch.

Exhibit Tables

• Each exhibiting company is assigned one rectangular banquet table. (The exhibition does not consist of 3-D booths with fixed backdrops)
• Table dimensions (approx.): 1.80 meters length x 70 centimeters width
• Tablecloth cover, skirt, and chairs are supplied. You may use your own branded tablecloth.
• Exhibitors may use only the table and chairs provided. Bringing one's own furniture or requesting from the hotel other/additional furniture (ie, stools, high cocktail tables, armchairs, etc) is not allowed.

Display Banners

• Due to space limitations, exhibitors are encouraged to bring tabletop banners or modestly-sized banners (ie, up to 5 feet/1.5 meters high x 18 inches/45cm wide), rather than very tall/wide floor banners.
• Wide banners must be placed behind the table and must not exceed the width of the rectangular exhibit table (1.80m).
• Attaching anything to the walls is prohibited.
• Encroaching on the space of other exhibitors is prohibited.

Exhibit Design

• NESA works on site with the hotel to design the exhibition and assign exhibit tables.
• Priority is given to conference sponsors, Premium Affiliates and program advertisers.
• A map/diagram of table assignments is not available prior to the conference.
• Please do not change tables without approval of the NESA Team. Thank you.

Security

• The Renaissance Polat Istanbul Hotel exhibit space is an open, public area and does not have dedicated security beyond the hotel's normal security.
• Upon request, the hotel will provide tablecloths for exhibitors to cover the exhibits after-hours.
• Do not leave valuables, give-away items, raffle przes, etc., unattended at any time (even during conference hours, ie, to go to lunch).

Internet & Electricity

• Complimentary internet will be available throughout conference spaces.
• Electricity access will be provided.
• Powerstrips will be shared by several exhibitors; bring chargers with longer cords.
• To avoid internet slow-downs, all delegates (including exhibitors) are asked to use only one device at a time, especially during peak use periods (e.g., coffee breaks, lunches). Thank you for your understanding!

• The dress code for exhibitors is mixed: some wear business attire, others business casual.
• The hotel is well air-conditioned, so we advise bringing a light jacket or wrap.
• For the two social events (Welcome Reception Oct. 16; Evening Social Oct. 18) "smart casual" is recommended.
• Mid-October daytime weather in Istanbul is slightly cooler and sunny, but with the possibility of rain (average highs: 20-25C / 68-77F). The evenings are cooler (average lows: 10-15C / 50-59F).

Officially, the exhibit closes when the conference adjourns on Sunday, October 19, at 12:00 noon.

Be sure to bring masking/packing tape to close boxes.
