Exhibit at the NESA Fall Leadership Conference 

Shipping instructions will be posted closer to the event date.

Prior to setup, please visit the NESA Office at the hotel to collect your conference materials (name badge, program, gift, etc.) and any shipped packages.

The NESA office will be open from Tuesday morning.

Exhibitors may generally set up the day before the conference. Specific hours will be posted closer to the conference date. 

If you don't require much time for setup, you may also set up on Thursday morning, beginning at 7:00am (prior to the opening keynote at 8:30am). Ideally, all exhibits should be in place by the first coffee break at 10:30am. 

The exhibit will be open during conference hours. Most exhibitors are at their booths the mornings (before the plenary session or workshops begin) and during high-traffic times (e.g., coffee breaks and the start/end of lunch).

Exhibit Schedule (2 full days and 2 half days)

• Thursday, 8:30am – 4:00pm (Welcome Reception 6:00pm)
• Friday, 8:30am – 2:00pm
• Saturday, 8:30am – 4:45pm (Social Soirée 7:00pm)
• Sunday, 9:00am – 12:00pm

Exhibit Tables

• This is a tabletop exhibit format — not 3D booths with fixed backdrop.
• Each exhibiting company is assigned one rectangular banquet table, dimensions: 1.80 meters length x 75 centimeters width.
• Tablecloth cover, skirt, and chairs are supplied. You may use your own branded tablecloth.
• Exhibitors may use only the table and chairs provided. Bringing one's own furniture or requesting from the hotel other/additional furniture (e.g., stools, cocktail tables, armchairs) is prohibited. 

Display Banners

• Due to space limitations, exhibitors are encouraged to bring tabletop banners or modestly-sized banners (up to 5 feet/1.5 meters high x 18 inches/45cm wide), rather than very tall/wide floor banners.
• Wide banners must be placed behind the table and must not exceed the width of the rectangular exhibit table (1.80m).
• Attaching anything to the walls is prohibited.
• Encroaching on the space of other exhibitors is prohibited.

• NESA works on site with the hotel to assign tables and design the exhibit layout.
• Priority is given to conference sponsors, Premium Affiliates and program advertisers.
• A map/diagram of table assignments is not available prior to the conference.
• Please do not change your table without approval from the NESA Team. 

• The exhibit space is an open, public area and does not have dedicated security beyond the hotel's normal security.
• Upon request, the hotel will provide tablecloths for exhibitors to cover the exhibits after-hours.
• Do not leave valuables, give-away items, raffle prizes, etc. unattended at any time – even during conference hours (e.g., to go to lunch).

• Complimentary internet will be available throughout conference spaces.
• Electricity access will be provided.
• Powerstrips will be shared by several exhibitors; bring chargers with longer cords.
• To avoid internet slowdowns, all delegates (including exhibitors) are asked to limit usage to one device at a time, especially during peak use periods (e.g., coffee breaks, lunches). 

• The dress code for exhibitors is mixed: some wear business attire, others business casual.
• The hotel is well air-conditioned — consider bringing a light jacket or wrap.
• For the two social events (Thursday Welcome Reception and Saturday Social Soirée), "smart casual" is recommended.

Officially, the exhibit closes when the conference adjourns on Sunday at 12:00 noon.

Be sure to bring masking or packing tape to seal your boxes.
